Terms and Conditions

COMPETITOR TERMS & CONDITIONS

1. Bump-in & Arrival Schedule

All registered entrants will receive a scheduled nump-in time approximately 2 weeks prior to the event.

  • It is the participant’s responsibility to arrive on time.

  • Late arrivals may be relocated at the discretion of SESSION Australia staff or may forfeit their display opportunity without refund.

2. Agreement Terms

This agreement is made between Colab Events (the “Event Organiser”) and the registering individual or entity (the “Registrant”).

3. Registration

The Event Organiser reserves the right to approve or deny registration for any SESSION Australia showcase event. Submission of a registration form does not guarantee participation.

4. Payment Terms

  • A 100% non-refundable payment is required upon registration approval.

  • Payment is non-transferable. Failure to make timely payment will result in denied entry.

5. Display Space Policy

  • Subleasing, renting, sharing, or transferring your display space is strictly prohibited.

  • Unauthorised advertising, sticker placement, or signage distribution is not allowed.

  • Breaches of this policy may result in disqualification from future events.

6. Vehicle Eligibility

  • Vehicles deemed disruptive, offensive, or inappropriate may be removed at the discretion of the Event Organiser.

  • Playing DJ music or amplified audio is prohibited unless pre-approved in writing.

  • Displays involving promotional models must be positioned to avoid blocking aisles or exits. Unapproved setups will be relocated or removed.

7. Merchandise & Commercial Activity

  • No sales or transactions may take place from vehicle display areas.

  • Violators’ goods will be confiscated until the event concludes and banned from future events.

8. Credentials & Entry Passes

Each approved vehicle display includes:

  • 1 x Event Entry Pass

  • 1 x Buddy Pass
    Additional passes must be purchased separately.

9. Insurance & Liability

The Promoter is not liable for injury, theft, or damage unless due to gross negligence. Registrants are encouraged to arrange their own insurance coverage.

Trade Vehicles must provide the following:

  • Workers’ Compensation & Employer’s Liability Insurance (as per local regulations).

  • General Liability Insurance naming the Event Organiser as additional insured:

    • $2,000,000 AUD general aggregate

    • $2,000,000 AUD products/completed operations

    • $200,000 AUD personal and advertising injury

    • $200,000 AUD per occurrence

  • All-Risk Property Insurance:

    • Must cover full replacement cost

    • Include a waiver of subrogation in favour of the Event Organiser

10. Indemnification

The Registrant agrees to indemnify and hold harmless the Event Organiser and its staff, affiliates, and partners from any claims, damages, or liabilities resulting from:

  • Breach of agreement

  • Misrepresentation or omission

  • Negligent or intentional actions

  • Any third-party claims related to the Registrant’s conduct or display

11. Intellectual Property Responsibility

The Registrant assumes full responsibility for any copyrighted or trademarked material used during their display and agrees to cover all legal costs associated with potential infringement claims.

12. Force Majeure

If the event is canceled or postponed due to natural disaster, emergency, strike, or any cause beyond the control of the Event Organiser, the Event Organiser shall not be held liable.

13. General Provisions

  • The Event Organiser reserves full authority to interpret, enforce, and amend these Terms & Conditions.

  • Registrants must comply with all local, venue, and fire safety regulations.

  • Displaying or promoting products that conflict with official SESSION sponsors is prohibited unless otherwise approved.

15. Risk Acknowledgement & Release of Liability

Acknowledgement of Risk

Participants understand the inherent risks involved in vehicle exhibition activities and accept responsibility for their own actions and those of their team.

Responsibility & Participation Requirements

  • All cars must have at least 1/4 tank of fuel.

  • Teams wishing to display together must bump in together.

  • Items such as weapons, tools, food, or liquids may be confiscated at security’s discretion and returned post-event.

Waiver & Release

By registering, the Registrant agrees to:

  • Release SESSION Australia, its employees, contractors, and affiliates from any and all claims or liabilities.

  • Not pursue legal action for injuries, damages, or losses occurring before, during, or after the event.

  • Accept full responsibility for their property, behavior, and any consequences thereof.

Legal Effect

By completing registration, the Registrant confirms that they:

  • Have read, understood, and agreed to these terms.

  • Accept personal responsibility for all actions, payments, and liabilities associated with their registration.

  • Acknowledge this document as the full and binding agreement between themselves and SESSION Australia.
